Privacy Policy

Updated October 2026

Welcome to Bid Solutions. Please take time to read our privacy policy (“policy”) as it sets out important information relating to how we handle your personal data.

Important Information and Who We Are

This privacy policy gives you information about how Bid Solutions Limited collects and uses your personal data in accordance with UK and EU law through your use of our websites at bidsolutions.com and marketplace.bidsolutions.com (together “the Site”) or other communication with us, including any data you may provide when you use the Match & Compare Service, register as a bid consultant or candidate, apply for jobs, subscribe to job alerts, place a job advertisement, book training or sign up to our newsletter.

Controller

Bid Solutions Limited (company number 05194464, registered office 12 King Street, Leeds, LS1 2HL) is the controller and responsible for your personal data (collectively referred to as “Bid Solutions”, “we”, “us” or “our” in this privacy policy).

If you have any questions about this privacy policy, including any requests to exercise your legal rights, please contact us using the information set out below.

Our representative in the European Union

Bid Solutions is established in the United Kingdom. Because we offer services to individuals in the European Economic Area through the Bid Marketplace and our other services, we have appointed a representative under Article 27 of the EU General Data Protection Regulation.

[Representative name], [address], [country].
Email: [email] · Reference: Bid Solutions Limited.

You may contact our representative on any matter relating to our processing of your personal data, including to exercise your rights under the EU GDPR. You may contact us directly instead if you prefer, using the details at the end of this policy. Our representative acts as a point of contact for you and for supervisory authorities in the EEA; Bid Solutions Limited remains the controller of your personal data and remains responsible for it.

The Bid Marketplace. The Bid Marketplace at marketplace.bidsolutions.com publishes a worldwide bid and proposal job board and the Bid & Proposal Salary Index. Most of the job listings on it are collected from third party job data suppliers and are advertisements published by other companies, not by us. Those listings are generally information about vacancies rather than personal data, but a minority contain the name or contact details of a named recruiter. Where they do, we remove those details before publication and direct the reader to the original advertisement. If you believe a listing contains your personal data, please see our Listing Takedown and Complaints Policy.

The Types of Personal Data We Collect

Personal data means any information about an individual from which that person can be identified.

We may collect, use, store and transfer different kinds of personal data about you which we have grouped together as follows:

Identifiers – First Name, Last Name, Email address, telephone number.

CV / Resume Detail – May include name, address, gender, contact details, marital status, date of birth, qualifications, employment history, interests, health information.

Salary and role preferences – The role or roles you are looking for, the country or countries you would consider, and your salary or day rate expectations, where you choose to give them to us.

Job alert preferences – The roles, countries and keywords you have chosen, how often you want to hear from us, when you confirmed your subscription, and when we last emailed you.

Compliance Information – May include proof of right to work, proof of residence, and criminal offence data.

Advertiser and booking information – Where you place a job advertisement or book a service, the contact details you give us, your company details, your VAT or tax registration number and country, and a record of your order. Card details are handled by our payment provider and are never seen or stored by us.

Internet or other electronic network or device activity information — Search history, information on your interactions with a website, application, or advertisement.

Geolocation Data — Physical location, generally.

Profile Data — Username and password.

Marketing and Communications Data — Your preferences in receiving marketing from us and our third parties and your communication preferences.

We also collect, use and share aggregated data such as statistical or demographic data which is not personal data as it does not directly (or indirectly) reveal your identity. For example, we may aggregate individuals’ usage data to assist our business partners in understanding their potential customers or current users. The Bid & Proposal Salary Index is built from aggregated information of this kind, drawn from published job advertisements and other sources. It does not identify any individual.

How We Collect Personal Data

Directly from you. When you provide your information electronically to us, we will collect and store that information.

Indirectly from you. When you navigate and interact with our Site, some information is automatically collected by cookies and similar technologies. Not all information collected may be personal information, and some cookies are necessary to use different functionalities of our Site. The personal information collected may include information about your computer and internet connection, like IP address, operating system, and browser type. For more information about the cookies we use, see our Cookie Policy.

When you ask to be remembered on a device. If you ask us to remember your details so that you are not asked for them each time you apply for a job, we store a small identifier on that device. You can clear it through your browser at any time.

From Other Sources. We also may periodically obtain both personal and non-personal information about you from affiliated entities, business partners, and other independent third-party sources (including any CV Sourcing sites such as Total Jobs, Indeed and CV-Library (www.cv-library.co.uk)) and add it to other information about you. For example, if you visit our Site by “clicking-through” from a site operated by one of our business partners and you have registered with that partner, then information about you that you have provided to that partner may be shared with us, such as contact information and demographic information. We also receive job advertisement data from job data suppliers for the job board; see the note on the Bid Marketplace above.

How We Use Your Personal Data

To send you job alerts. Where you subscribe, we use your email address and your chosen roles, countries, keywords and frequency to send you new vacancies matching your choices. We record what we have sent you so that you do not receive the same vacancy twice. You can change your choices or unsubscribe at any time using the link in any alert. If you unsubscribe we delete your alert and keep only a scrambled copy of your email address, so that we can be sure never to email you again by mistake.

To administer job advertising. Where you place an advertisement, we use your contact and company details to take payment, publish the advertisement, send you confirmations and reminders, deal with extensions, refunds and takedowns, and keep records of the sale.

Automated matching. We use automated matching to decide which vacancies appear in your alerts and which salary figures are shown alongside a role. This has no legal or similarly significant effect on you, and a person is always involved in any decision about your suitability for a role.

Artificial intelligence. We may use AI tools to help us summarise or categorise job advertisements and to support our own work. We do not use AI tools to decide whether to put a candidate forward for a role, and we do not put CVs or other personal data into AI services that would use them to train a publicly available model.

How We Share Your Personal Data

Our main service providers. We use the following categories of provider, each of which processes personal data only on our instructions: our customer relationship management system, which holds candidate and client records; our email delivery provider, which sends alerts and confirmations; our payment provider, which handles card payments; our website hosting and database providers; and our analytics and security providers. We will tell you the current providers on request.

Your Data Privacy Rights

Right not to be subject to an automated decision, including profiling. We do not make decisions which produce legal effects concerning you, or which similarly significantly affect you, by automated means alone. Where we use automated matching, we explain this under “How We Use Your Personal Data” above.

Cookies

We use cookies and similar technologies on our Site to personalize your experience on the Site and recommend software products and services that may be of interest to you. For additional information or to opt-out see our Cookie Policy. We ask for your consent to non-essential cookies before they are set, and you can change your choices at any time through the cookie settings link in the footer of the Site.

International transfers

Bid Solutions may transfer your personal data to suppliers outside your home jurisdiction. We will take all reasonable steps to ensure that personal data is protected, and any such transfers comply with applicable law.

We may transfer and maintain the personal data of individuals covered by this Policy on servers or databases outside the UK or European Economic Area (EEA). Some of these countries may not have the equivalent level of protection under their data protection laws as in the EEA.

Whenever we transfer your personal data out of the UK to countries which have laws that do not provide the same level of data protection as the UK law, we always ensure that a similar degree of protection is afforded to it by ensuring that one or more of the following safeguards are implemented:

– the country is the subject of adequacy regulations made by the UK government or an adequacy decision of the European Commission;

– the transfer is made under the UK International Data Transfer Agreement, or the UK Addendum to the European Commission’s standard contractual clauses, or the standard contractual clauses themselves; or

– for transfers to the United States, the recipient is certified under the EU-US Data Privacy Framework and the UK Extension to it.

We publish a worldwide job board and salary index, so we may hold personal data about candidates living outside the UK and EEA, and we may share a candidate’s details with an employer in another country where the candidate applies for a vacancy there. Where we do, the safeguards above apply.

Security

We have implemented appropriate administrative, technical, and physical security procedures to help protect the personal data you provide to us. This includes Cyber Essentials certification.

For example, only authorised employees are permitted to access personal data that you do not publish on the Site, and they only may do so for permitted business functions. Our security and privacy policies are periodically reviewed and enhanced as necessary, and only authorised personnel have access to personal data that you have not published on the Site. In addition, we use encryption when transmitting your personal data between your system and ours, and we, together with our partners, employ firewalls and intrusion detection systems to help prevent unauthorised persons from gaining access to your non-public information.

Please bear in mind that submission of information over the Internet is never entirely secure. We cannot guarantee the security of information you submit via our Site while it is in transit over the Internet, and any such submission is at your own risk.

Children’s Privacy

The Site is a general audience site and does not offer services directed to individuals under 18 years of age.

No one under the age of 18 may provide any information to or on the Site. We do not knowingly collect personal data from individuals under 18.

If you are under 18, do not use or provide any information on this Site or on or through any of its features, do not register on this Site, use any of the interactive or comment features of this Site, or provide any information about yourself to us, including your name, address, telephone number, email address, or any screen name or user name you may use. Should an individual whom we know to be under the age of 18 send personal data to us, we will delete or destroy such information as soon as reasonably possible. If you believe we might have this type of information, please contact us.

Data Retention

Bid Solutions retains your personal data where we have an ongoing legitimate business need. For example, we may retain your information to prevent, investigate, or identify possible wrongdoing in connection with the Site or to comply with legal obligations. We may also retain copies of your personal data in our backup archives. We will email you every 2 years to check whether you wish us to retain your data, and/or whether it is up to date.

The periods we generally apply are:

Record Retention
Candidate record and CV 3 years from your last contact with us, then deleted unless you ask us to keep it
Job alert subscription Until you unsubscribe; a scrambled copy of the email address is kept afterwards to prevent re-contact
Compliance records, including right to work and criminal convictions declarations The engagement plus 6 years; right to work evidence for the engagement plus 2 years
Advertising and other orders, invoices and accounting records 6 years from the end of the relevant financial year
Enquiries and correspondence 2 years
Website analytics As set out in the Cookie Policy

With respect to personal data that has been collected using cookies and similar tracing technologies, you can view retention periods in our Cookie Policy, as well as adjust and/or disable certain tracking. Please note that software product and service providers listed on the Site cannot remove their profile page, ratings, or reviews by closing their accounts.

Bid Solutions may update this Privacy Policy from time to time. We will notify you about material changes to this Privacy Policy by either sending a notice to the email address you provided to us and/or by other measures that are appropriate to provide you with notice. We will obtain your consent to any material Privacy Policy changes if and where this is required by applicable data protection laws.
